Your challenge
Policies, directives and SOPs are often written in Word, approved by e-mail, tracked for review dates in Excel and distributed through the intranet, folders and printouts, so several versions circulate at once and temporary staff or visiting consultants often have no access at all. A requirement is then documented but does not reliably operate on the ground; the gap only shows in incidents, audit findings and quality reviews, for example under Art. 58a KVG.
Our solution
MyStaff is the governance platform that runs the full lifecycle of policies, directives and SOPs, from creation and approval to implementation and evidence.
Approval routes with named approvers are configured, exactly one version is valid, group-wide and local requirements sit side by side, review dates raise themselves with escalation, and superseded versions disappear everywhere, down to the mobile device. Assignment by site, department, role and language (DE, FR, IT, EN), reminders and escalations run automatically; training, comprehension checks and certificates sit on the document itself, temporary staff and visiting consultants included.
Staff find everything controlled in one place, from the SOP to the emergency plan and the equipment manual, on mobile, offline or by QR code at the point of use in under 30 seconds, and the evidence accrues along the way instead of being assembled before the audit.
MyStaff runs as SaaS alongside the hospital information system, quality management system and intranet without replacing them, and processes no patient data. It has been in use in the British NHS since 2022 and, since 2026, at the UK’s largest healthcare charity (38 hospitals), with more than 65,000 users across more than 250 sites in total.
At one NHS hospital group with several large hospitals, 17,000 staff and more than 1,600 controlled documents, the share of documents that were version-controlled and in date rose from 76% to 98% within six months, according to the monthly document-control audits. Version control has held at 100% since March 2024, and MyStaff has been adopted by all 17,000 staff.
